As the Office and Facilities Manager, you will be the primary office contact in our corporate office for our employees and guests. You will be in charge of handling facilities/office issues and be involved in a variety of projects.

Core Responsibilities:

  • Provide day to day facilities and office services for our Palo Alto office
  • Responsible for managing all on-site vendors and ensuring adherence to service level agreements and contracts as negotiated
  • Responsible for facilities and offices services set-up of or other temporary work spaces as needed.
  • Oversee and maintain the office's amenities. Order office and kitchen supplies.
  • Monitor and maintain good quality operations of all kitchen equipment.
  • Facilitate office setup for new hires. Conduct office tour and team introductions where necessary.
  • Manage office projects and contractors.
  • Handle incoming and outgoing mail and packages.
  • Responding to physical office emergencies (water leak, hot/cold calls) as needed.
  • Setup and/or assist with meetings/trainings/client lunches/team lunches.
  • Organize and plan company/local social events
  • Day-to-day management and supervision of part-time Day Porter
  • Establish and maintain office emergency plan and team.
  • Collaborate with HR on health and safety policies.
Qualifications:

  • Prior office services or facilities management experience at a professional services organization is required.
  • Must have strong organizational skills and thoroughness and follow-through with the capability to perform numerous tasks simultaneously.
  • Excellent verbal and written communication skills are needed, along with strong interpersonal skills and the ability to think and react clearly, quickly and calmly in a crisis.
  • A "team player" attitude, entrepreneurial spirit a group management skills in order to be able to build group cohesion.
  • Ability to work independently and drive projects from start to finish.
  • Strong project management skills and a solid working knowledge of excel, word and outlook are required.
  • Excellent communication skills and a professional demeanor.
  • 4-year college degree is required
  • Physical Demands - this position involves standing, walking and occasionally kneeling, bending and lifting up to 30 lbs.
