Office Administrator/Receptionist

• Assist Facilities Manager with overall organization and upkeep of the office; request maintenance services (leaky faucet, HVAC issues, etc.) and maintain good relations with vendors and property management.


• Oversee inventory, ordering and stock supplies for kitchen and office supply areas.


• Seek cost saving ideas and vendors.


• Assist Facilities Manager with office expenditures and managing the budget.


• Coordinate travel arrangements including car, hotel and air as requested.


• Assist employees with scheduling meetings.


• Coordinate catering for meetings and group lunches.


• Keep floor plans and seating charts updated.


• Assist other departments with proofreading documents, making reminder phone calls for upcoming events, sending equipment to tradeshows and coordination of social gatherings.


• Greet visitors, assist with sign in, contact person being visited, and offer refreshments.


• Assist Executive Assistants, setting up meetings, ordering refreshments, greeting visitors and miscellaneous administrative tasks as needed.


• Receive, sort and distribute mail.


• Receive incoming express packages, record in Receiving Log and contact addressee.


• Create waybills for express packages as requested.


• Receive incoming checks, logging date received and company name into Incoming Check Log.


• Fold and stamp outgoing mail.


• Enter purchases in Coupa system.


• Monitor confidential bins and first aid cabinets.


• Monitor recurring orders for Tuesday bagels and Thursday fruit.


• Create nameplates as required.


• Scan invoices for Accounts Payable.


• Process monthly AMEX expense report.


• Coordinate monthly Birthday Treats.


• Set up new employees into Eat Club and Chargepoint Chargers as required.


• Liaise as needed with property management.


Compensation: $22-$24 DOE
Required Skills:


• Experience as office manager or administrative assistant in a corporate environment.


• Outstanding communication skills, both written and oral.


• Fantastic interpersonal skills and an approachable personality.

Years of Experience & Educational requirements:


• At least 2 years of office management and/or administrative assistant experience.


• Minimum 2 year college degree, 4 year college degree a plus.


• Experience working with Concur Travel Systems and Coupa Purchasing Software.
