Compensation: $25/Hour


• Take client calls; if you are unable to take a call, you should return the call the same business day; if you cannot return the call the same day, you have a maximum of one business day to return the call, the clock starts when you receive the call

• Create and manage work orders including vendors and members

• Produce board packet reports, per the "Pre-meeting Checklist," in a clean, orderly and professional fashion.

• Coordinate with assigned community managers to prepare monthly Outlook calendars for deadlines, reports, processes and standing meetings.

• Transcribe minutes, letters, punchlists, landscape walks, etc., as assigned by community manager

• Process signed documents, as assigned by community manager, such as minutes, contracts, signature cards, delinquency exhibits, etc.

• Coordinate board meeting logistics as requested by community manager

• Provide backup support when community manager is on vacation, sick or out of the office.

• Process mass communications through Optimal Outsource

• Maintain community profile, portfolio, policy notebooks, association manuals and any annexation documents, per the direction of the community manager

• Coordinate election process by mailing and receiving back the ballots and preparing the necessary documents to be taken to the annual meeting

• Conduct occasional walkthroughs as approved by the team leader (not to exceed 6 hours/month)

• Maintain all homeowner files in Connect; uploaded all necessary documents and/or emails to the member's file in Connect

• Maintain an organized, tidy workspace according to company policy

• Assist any walk-in members/vendors even if they are not associated with your properties

• Must be familiar with the organizational chart of each department so that each staff member is properly directed to the appropriate responsible party

• Ability to work under tight deadlines and consistently meet deadlines.

• Demonstrates organizational skills and ability to independently prioritize daily workload.

• Must have minimum typing speed of 40 WPM.
