Associate Community Manager - Temp to Hire Position

Supports a team of community management staff through timely completion of assigned administrative and project duties.


• Report to work punctually, as scheduled, and be at the assigned work station ready for work at the assigned start time


• Take client calls; if you are unable to take a call, you should return the call the same business day; if you cannot return the call the same day, you have a maximum of one business day to return the call, the clock starts when you receive the call


• Create and manage work orders including vendors and members


• Review and process mail for assigned communities, this may included architectural applications, gate remotes, amenity keys, change of address request, etc.


• Transcribe minutes, letters, punchlists, landscape walks, etc., as assigned by community manager


• Process signed documents, as assigned by community manager, such as minutes, contracts, signature cards, delinquency exhibits, etc.


• Process mass communications through Optimal Outsource


• Maintain community profile, portfolio, policy notebooks, association manuals and any annexation documents, per the direction of the community manager


• Coordinate election process by mailing and receiving back the ballots and preparing the necessary documents to be taken to the annual meeting


• Conduct occasional walkthroughs as approved by the team leader (not to exceed 6 hours/month)


• Maintain an out of office messages on your voicemail and email when away from your desk for an extended period of time (i.e. a three hour meeting) or if you are out of the office on a normal business day


• Assist any walk in members/vendors even if they are not associated with your properties


• Complete company training as assigned in on boarding plan, attend all mandatory company functions and adhere to Standards of Operation (noted below)


• Make accurate payroll entries each day in accordance with employee handbook


• Must have reliable transportation and be able to drive to other work locations supervisor and the Board must be notified well in advance.


• Must always pull template letters or forms from FirstSource.

• Ability to draft correspondence and respond to inquiries and client concerns effectively and independently.

EDUCATION and/or EXPERIENCE

Must have a minimum of a GED or a High school diploma.
