Project Assistant:

Out client is looking for someone to provides support to Project Managers on administrative functions of managing projects throughout the project life-cycle. Responsible for partnering with the Project Managers by taking an active role in the coordination of project elements including such things as opportunities, proposal tasks, invoicing, budget updates, expense entry, compliance, and records retention.

Project Assistant Responsibilities:

  • Tracks and monitors scope, schedule and budget partnering with Project Managers on several projects to ensure they are executed.
  • Coordinates, reviews and analyzes financial data for projects to compile revenue projections.
  • Research and coordinates discrepancies with Accounting for accurate invoice preparation.
  • Analyzes information in order to conceptualize and define operational process improvements and impacts.
  • Assists Project Managers with data to prepare regular financial and client report summaries.
  • Tracks and monitors contract expenses.
  • Acts as a liaison for Project Managers and Accounting with clients in support of various customer relations issues.
  • Prepares, develops and proofreads project documents.
  • Assists with monitoring project schedule and budgets while personally shifting priorities to meet project demands and deadlines.
  • Develops understanding of client issues through research of monitoring of needs.
  • Assists with the management of project milestones with intent to keep within schedule and budget expectations.
  • Takes initiative, resolves problems and creates improved procedures to assure tasks are completed in the most effective manner.
  • Communicates project risks to the Project Manager as they arise and assists in the development of appropriate risk mitigation steps.
  • Supports the development of methodology, tools and approaches using fundamentals of Project Management practices.
  • Develops business acumen in order to identify potential process gaps or issues.
  • Effectively communicates amongst assigned project population.
  • Aids in ensuring that team goals, roles, protocols, and business relationships are consistent with high performance requirements and congruent with the company's strategy.
  • Maintains strong relationships with clients and Project Managers.
  • Leads by example in an environment that fosters trust and candor, maintains personal accountability and communicates assertively and constructively.
Project Assistant Qualifications:

  • Bachelor's degree and a minimum of five years of relevant experience supporting all levels of staff. An associate degree may be considered and years of experience.
  • Outstanding oral and written communication skills.
  • Excellent interpersonal skills.
  • Well organized, attention to details, skilled in setting priorities and meeting deadlines, and able to handle multiple tasks simultaneously.
  • Works well independently and in teams.
  • Proactive in anticipating work requirements with strong analytical and problem-solving abilities.
  • Intermediate to advanced skills in word processing, spreadsheets, database use, and presentation software (Microsoft Programs) and experience with using and researching the internet.
  • Knowledge of accounting principles and procedures
  • Strongly prefer knowledge of Deltek software
  • Capable of making timely, independent decisions.
  • Knowledge of Project Management industry standards
