Our client is sourcing for a dynamic and enthusiastic Administrative Assistant to support members of the Legal Department who functions in an efficient, detail-oriented, and proactive manner.

The ideal candidate is an energetic professional with strong experience supporting a large team and who is seeking a challenging and rewarding career in a fast-paced global financial services firm. The candidate should be a team player, extremely motivated, resourceful, organized, communicative, and able to leverage the teams' time by completing tasks independently with strong attention to detail. The position is based in San Francisco.


  • Responsible for general administrative support for SF Legal Department Directors and Vice Presidents (12 VP) including calendaring and scheduling, coordination of domestic and international travel utilizing on-line booking system Concur, and preparation of expense reports.
  • Meet and greet visitors, clients and interview candidates, answer phones and take messages, coordinating conference rooms, audio/visual requirements.
  • Produce letters, memoranda, presentations, reports, etc. as necessary; proofread documents for appropriate grammar, punctuation and spelling.
  • Assist in PowerPoint presentation preparation and Excel spreadsheets.
  • Provide core administrative support such as faxing, filing, scanning and copying.
  • Manage inventory of supply stock for the team.
  • Provide reciprocal coverage to other assistants.
  • Coordinate interviews when the team is hiring, including scheduling candidates' meetings, and assist with onboarding when new employees join the team.
  • Assist in the preparation of Board and Committee Materials.
  • Performing ad hoc projects as needed.

  • Excellent phone manner and management a must
  • College degree preferred or equivalent educational background
  • Minimum three years of corporate or legal administrative experience in roles that interfaced with external clients and executive management
  • Must have superior skills in MS Word, Excel, Outlook and proficiency knowledge in PowerPoint
  • Experience and proficiency working with automated expense tracking, online travel etc.
  • High energy level and ability to perform in a fast-paced environment under highly demanding conditions
  • Strong analytical, interpersonal and communication skills
  • Excellent organizational skills; detail oriented
  • Strong time management skills; ability to handle multiple concurrent assignments, with a high degree of accuracy, and meet deadlines in a high-pressure environment
  • Self-starter with the ability to work independently and with minimal guidance
