Administrative Assistant

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our tenants, managers and employees, assisting in daily office needs and managing our company's general administrative activities. Front Desk/ Office Administrative Assistant responsibilities include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.

Administrative Assistant Responsibilities:

  • Communications with tenants, vendors, contractors, service providers and with our legal & insurance advisers.
  • Notices to tenants regarding rent payments due, courtesy reminders, late payment charges and other correspondence.
  • Processing of vendor invoices for approval & payment with their associated purchase orders or service orders in accordance with established procedures.
  • Routinely, update the contracts database, the templates for bidding, purchase & service orders, and the standard leases & lease amendments to ensure that they are current.
  • Respond to tenant complaints and needs while demonstrating courtesy and professionalism.
  • Organize and maintain office files and records in proper order.
  • Periodically review the adequacy of office supplies and services to ensure smooth office operations.
  • Other duties/responsibilities as maybe assigned.
Administrative Assistant Requirements:
  • Strong clerical and administrative skills with the ability to multi-task and work independently on assignments.
  • Must be a U.S citizen or be authorized to work in the USA on a permanent basis.
  • Must be organized, efficient and detail-oriented.
  • Possess strong communication skills, both written and verbal, as well as having good interpersonal skills.
  • Proficient with MS Word and Excel (simple sample tests will be given to applicants prior to the interviews); and having the ability and willingness to learn specific software relevant to property management.
